This page helps you get started as a new student or staff member and provides a brief overview of all our ICT services.

your UCLL account

You will receive an email with information on how to activate your UCLL account. Follow the steps in this email.

  • Username: can be found on your student or staff card
  • Activation code: can be used once to activate your account and set a password
  • KU Leuven Authenticator: extra login security via an app, to be set up right after activation.

Didn't receive the email? Then contact your registration service or your HR officer.

Laptop for students

A laptop is almost indispensable for following a course at UCLL. The ICT department offers a useful overview on the intranet concerning student laptops:

Wifi: eduroam

UCLL has the "Eduroam" wifi network on every campus. You install eduroam once and you’ll have internet access on all UCLL campuses and other affiliated educational institutions worldwide.

  1. Connect to the internet.
  2. Browse to cat.eduroam.org and click on the blue button.
  3. Follow the instructions and enter the correct credentials.
  4. On campus: Select "Eduroam" as your wifi network.

Please note: your eduroam username is your username@ucll.be (don’t forget the @ucll.be!).

Online learning environment: Toledo

Toledo is UCLL’s digital learning environment. You can find, among other things:

  • Course materials and course information (courses are linked to your ISP)
  • Deadlines and assignments
  • Announcements from your lecturers
  • Your grades and feedback

You can access Toledo via the quick links on the intranet.
A greyed-out course means that the course has not been made available by the lecturer and is therefore (currently) not accessible.

Software

Every UCLL student has access to the software portal. This gives you an overview of all available software per program, including any costs and download instructions.

  • One of the most important packages you can use for free is Microsoft 365. This includes Word, Excel, PowerPoint, and Outlook.
  • In addition, you get access to your personal OneDrive.
  • Documents you collaborate on with others are preferably shared via Microsoft Teams.

E-mail

E-mail traffic at UCLL is handled by Outlook. You can log in through:

  • Intranet - quicklink 'Office 365' and then choose Outlook on the left..
  • Outlook - install the app.
  • Toledo - the mail icon in the top right corner.

Create your email signature as a UCLL student

  • Fill in your field of study and class group under 'Education'.
  • Add this signature to every email to make it clear who you are.

You can also configure your UCLL mailbox on your laptop and smartphone.

UCLL app

Through the UCLL app, you can consult all kinds of practical information, such as:

  • News: consult news items on the intranet.
  • Notifications: receive an alert in case of an urgent change.
  • Timetable: view when and where your classes are.
  • My card: consult and revalue your print and copy balance.

Copy, print and scan

On a UCLL desktop (e.g. in a computer lab) or laptop, you can print directly to a campus printer:

  1. Send your document to the printer UCLL Colour or UCLL Black & White.
  2. Go to a printer on campus and use your student card to release your print job.

You can also print to a campus printer from your own laptop:

  1. Go to webprint.ucll.be and log in with your username and password.
  2. Select the file you want to print and choose whether to print in colour or black & white.
  3. Go to a printer on campus and use your student card to release your print job.

Card

Students receive their student card by mail. Late enrollees receive their card via the student administration (in Leuven), or by mail (in Limburg).
UCLL staff members receive their card via the HR department.

The UCLL card can be used for:

  • Paying for prints and copies
  • Access to libraries, classrooms, and parking (not available on all campuses)
  • Discounts in shops, museums, cinemas, …
  • ID verification during exams

Administrative portal: KU Loket

Here you can consult your individual study programme, personal details, tolerance credit, obtained grades, etc.
In your progress file, you will also find your published exam results.

You can find KU Loket via the quick links on the intranet.

IMPORTANT! At the start of the academic year, check your ISP and submit it!

Switching courses/school

Are there still courses or communities from a previous programme in Toledo?
Unenrol from any courses or communities that are no longer relevant to your current programme via "Manage" > "Unsubscribe".

Did you transfer from another college or university to the KU Leuven association? Then make sure that your correspondence e-mail address is correct! KU Loket > Student file > Addresses > Select your current UCLL e-mail address under "General communication".
